Job Title: Administrative Assistant
Company: Lighthouse International School Phuket
Location: Phuket, Thailand (Thai nationality only)
Responsibilities:
1. Greeting visitors and handling enquiries in a timely and professional manner.
2. Keeping updated on daily campus activities and communicating with the Admissions Manager and Head of School.
3. Answering the telephone and redirecting calls as required. Keeping a log of enquiries and their sources.
4. Distributing messages to staff as needed.
5. Establishing and maintaining good relationships with the Admissions and Marketing managers and assisting the Admissions Manager in a supportive role.
6. Keeping the reception area tidy.
7. Sorting and distributing post.
8. Knowledge of school administration database system and Admissions paperwork requirements.
9. Assisting in School Events.
10. Assisting in the Admissions Process when the Admissions department is busy (School Tours, Application processes, etc.).
11. Providing relief for the secretary during lunch hours.
12. Catering responsibilities, including dealing with (contract management, updating student allergies, quality control, and catering for events).
13. Contacting the school catering company for snack and lunch arrangements for students and staff, including special event coordination.
14. Creating lists of students with allergies and special dietary requirements.
15. Collecting feedback from staff, students, and teachers, and organizing weekly meetings to provide feedback.
16. Reviewing the weekly menu and summarizing the monthly student numbers for Food house.
17. Creating seating plans and posting the weekly menu.
18. Uniform responsibilities, including selling uniforms (face-to-face and online), monthly stock checks, preparing receipts, updating stock with the Purchasing Manager, overseeing the fitting room, and managing the Pre-loved Uniform Project.
