Position : Personal Assistant
You will be responsible for scheduling meetings and travel arrangements, coordinating delivery, ensuring appointments are being kept with different suppliers and keeping your employer updated according to the online meeting calendar, organizing files, typing out letters and other communication, running errands, and performing other tasks in and out of the office as necessary. Candidates must have medium to high level in communication in English both in writing and speaking. It will be a plus if our candidate has some personal assistant experience.
Working days Monday to Friday from 9am to 6pm. Flexible working hours will be requested to work some Saturday.
Personal Assistant Duties and Profile
- Answer phone calls and respond to emails
- Plan and schedule meetings and events
- Make travel arrangements
- Take action points and write minutes during meetings
- Make copies, order lunch, and prepare rooms for meetings
- Order office supplies and equipment
- Manage internal projects, such as audits or reviews when necessary
- Fill in budget for ongoing projects
- Organize delivery, invitations and logistics
- Communicate with project managements
- Customer focused and accountable
- Open and flexible to be involved in a start-up environment; willing to be hands
- Eager to help and keen to learn
- Positive attitude
- Pro-active with a strong sense of responsibility and integrity
- Be prepared to assist other teams with operational duties including listing development, data gathering and processing when required.
Requirements and Qualifications
- High school diploma or equivalent
- Experience as a PA will be a benefit
- Confident with Microsoft Office and common office programs
- Excellent organizational, time management, and communication skills
- Tact and discretion when dealing with confidential information
- Attention to detail
- Speaking a third Asian language is desirable.
- Experience within an online or customer facing business is preferred.
