Sales Administrator Job Description

We are seeking a dedicated sales administrator to provide excellent clerical and organizational support for our sales team. Your daily duties include preparing pricing documentation, quotations, invoices, and delivery notes for customers; responding to customer calls and emails; tracking orders; assisting the sales staff in completing customer paperwork; and maintaining the customer database. In addition, you will ensure timely delivery of products or services and customer satisfaction, input data into our customer management system, and oversee the sales department's calendar. You may also handle customer questions, requests, and complaints. Sales administrators often monitor sales goals and encourage the sales team to meet their monthly or quarterly quotas.

Duties & Responsibilities:
- Perform basic customer service functions, like communicating with the customers to get the desired information and responding to their queries.
- Provide sales and technical information to potential and existing customers.
- Stay up to date with new products and features.
- Become experts on company product and service offerings.
- Carry out orders through email, phone, or any other online platform.
- Act as a customer support liaison for delivery scheduling, complaints, and order writing.
- Organize, collect, and file sales orders using your knowledge of electronic e-filing systems.
- Quote pricing to customers for the company products.
- Ensure the order and invoices for data accuracy.
- Invoice clients and process payments.
- Maintain and update sales records, databases, and customer information.
- Ensure the achievement of sales targets and promptly report any deviations.
- Compile sales reports and monitor sales efforts.
- Responsible for developing and presenting sales figures to the senior sales team and management.
- Generating clients leads and making efforts to increase the number of customers.
- Verifying the accuracy of the data in the orders and statements.
- Communicate important feedback from customers internally.
- Contact clients to obtain missing information.
- Liaise with the stock controller and related section to ensure timely deliveries.
- Assisting in diary management and arranging meetings.
- Responsible for assigning sales targets and other related tasks.
- Generating supply and upgrading sales reports on a weekly basis.
- Responsible for developing and presenting sales figures to management.

Qualification:
- Diploma or equivalent; bachelor’s degree preferred.
- New graduates are welcome.
- Proficient with Microsoft 365 (specifically MS Excel)
- Service-oriented, positive, extremely responsible, and open-minded
- Excellent sales and networking skills and the ability to ensure customer satisfaction.
- Fast learner and problem solver
- Outstanding organizational and multitasking skills
- Outstanding oral and written communication skills.
- Ability to prioritize tasks and achieve success within set deadlines.
- A team player with a high level of dedication.
- Strong understanding of sales performance metrics and KPIs.
- Certification in marketing, sales, or a relevant field is a plus.
