KEY RESPONSIBILITIES
General

● Ensure a neat and presentable reception environment, maintaining a seating area for visitors and parents, as well as a functional, appropriately equipped space from which to provide information and answer queries.
● Ensure the school’s guiding statements (mission, vision, and values) and ISP information is clearly visible at all times.
● Have a full knowledge and understanding of emergency procedures, school policies, and the legal requirements associated with providing a safe environment for students, staff and ensure implementation of strategies to meet all requirements.
● As needed and apparent, immediately inform related to crisis management and/ or emergency protocols.
● Understand the school’s curricular and extra-curricular offerings to be able to support enrolled and prospective families with their inquiries.
● Keep up to date with what is happening at school to be able to provide the most up-to-date information.
● Support the academic and non-academic senior staff with internal and external communications and publications as required.
● Report and log complaints from the community and pass them on to relevant senior staff.
● Receive deliveries and arrange expeditious distribution to relevant parties.
● Coordinate the campus lost and found service.

Students

● Play an active part in supporting the welfare and well-being of all students enrolled at the assigned campus.
● Actively assist with the daily student registration process
o Support the Academic Leadership Team and staff in registering students who arrive late and help maintain a record for ongoing reference and referral.
o Place calls to parents whose children are absent to legitimise absence where necessary.
o Enter student attendance records using student management software.
● Update school contact records as needed e.g. family calls to update cell phone or email contact, maintain a list of appropriate emergency contact numbers for all students.
● Support students with their questions and redirect to other staff as needed.
● Stay up to date with the BCIS student behaviour policy and practices and utilise the school’s approved approaches at all times.
● Monitor student behaviour in and around the reception area and intervene as appropriate in cases of inappropriate behaviour or where re-directing is necessary.
● Support students by directing them to the physical and mental health and well-being support services as necessary.
● Support the students and families who use the school bus service as required.
● Liaise with the ECA coordinator to support student sign-up.
● Play an active role in welcoming new students and their families onto campus as part of their transition and help monitor new students and their welfare and well-being in the early stages of their enrolment at BCIS.

Security

● As part of the team, assist with ensuring the effectiveness of the school security system, including supporting the annual school audit, in liaison with relevant teams.
● Respond to school security pass/ ID badge requests by reviewing and issuing/ updating/ withdrawing access passes in line with the school security policy, whilst monitoring adequate stock level of passes and ancillary items.
● Liaise with the guards to ensure all those entering campus have read, understood, and agreed to abide by the health and safety and safeguarding expectations.
● Help ensure all adults on campus are displaying the appropriately coloured lanyard (staff, parent, visitor, contractor) and badge for identification at a distance.

Visitors
● Be the first point of contact in the school for visitors.
● Work as part of the meet and greet function for prospective parents and students.
● Answer visitor questions and provide general school information.
● Pass potential parent inquiries to Admissions. Other specific inquiries shall be transferred to the relevant department/division.
● Welcome visitors in the School Reception area and contact relevant staff members to greet and invite such visitors to a more relevant meeting place.
● Support security guards for communication in English for any walk-in visitors or general inquiries.
