Job Summary:

The Personal Assistant to the Director of Sales and Marketing provides administrative support, manages schedules, assists with client communications, and supports sales and marketing activities. The ideal candidate is highly organized, proactive, and capable of handling multiple tasks in a fast-paced environment. This role requires excellent communication skills, a high level of confidentiality, and a keen attention to detail.

Key Responsibilities:
1. Administrative Support
o Manage the director’s calendar, including scheduling meetings, appointments, and travel arrangements.
o Organize and prepare meeting agendas, materials, and follow-up documents.
o Handle correspondence, including emails, letters, and phone calls, on behalf of the director.
o Prepare reports, presentations, and spreadsheets as needed.
o Record and update customer payments.
o Monitor customer accounts and follow up on outstanding invoices.
o Any other assignment by DOSM.
2. Project Management
• Support the director in managing multiple projects, tracking progress, deadlines, and deliverables.
• Assist in cross-departmental coordination and ensure tasks are completed according to project timelines.
• Follow up on outstanding tasks and monitor key performance metrics.
3.Event Planning and Coordination
• Organize and coordinate company and client events, including preparing schedules, venues, and catering.
• Handle logistics, invitations, and attendee follow-ups to ensure successful events.
• Collaborate with internal and external partners to achieve event goals.
4.Document Management and Record Keeping
• Maintain organized records of important documents, files, and correspondence.
• Ensure that all documents are up to date, stored securely, and easily accessible.
• Handle confidential information with discretion.


Key Qualifications:
• Proven experience as a Personal Assistant, Administrative Assistant, or similar role, preferably supporting executives in sales or marketing.
• Excellent organizational, time-management, and multitasking skills.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
• Exceptional communication and interpersonal skills.
• Ability to work independently with minimal supervision and adapt to changing priorities.
• High level of professionalism, discretion, and confidentiality.
Preferred Qualifications:
