Job Title: Assistant to Managing Director (MD)
Job Summary:
We are seeking a highly capable and versatile Assistant to provide comprehensive administrative, operational, and strategic support to our Managing Director (MD) in our thriving pool villa rental business. This role demands a proactive, detail-oriented individual with exceptional organizational, communication, and problem-solving skills.
The Assistant will be instrumental in ensuring the smooth functioning of the MD's office, coordinating projects across various departments, and contributing to the company's strategic growth and business development initiatives. The ideal candidate will be a strategic thinker, capable of working independently, managing multiple priorities, and maintaining the highest level of professionalism and confidentiality.
Responsibilities:
* Administrative Support:
* Prepare and edit professional correspondence, reports, presentations, and other documents, ensuring accuracy and clarity.
* Act as the primary point of contact for the MD, screening calls and emails, prioritizing and responding appropriately, and managing communication flow with staff, owners, guests, and external partners.
* Coordinate meetings and events, including preparing agendas, distributing pre-reading materials, taking detailed minutes, and following up on action items.
* Assist in the preparation and tracking of budgets and expense reports.
* Handle confidential information with the utmost discretion and integrity.
* Project Coordination:
* Assist in the planning, execution, and monitoring of various projects across different departments (rental management, services, restaurant), ensuring alignment with the MD's objectives.
* Develop and maintain project timelines, track progress, and proactively identify potential roadblocks.
* Coordinate communication and collaboration between different teams involved in projects.
* Prepare project-related documentation, reports, and presentations for the MD.
* Follow up on project deliverables and ensure deadlines are met.

* Strategic Planning Support:
* Conduct research and gather data to support the MD in strategic planning initiatives, including market analysis, competitor analysis, and identifying potential opportunities.
* Assist in the development of strategic documents, presentations, and reports.
* Help track the progress of strategic goals and initiatives.
* Participate in strategic planning meetings and contribute insights as required.

* Business Development Support:
* Assist the MD in identifying and exploring new business opportunities, partnerships, and collaborations.
* Conduct preliminary research on potential business ventures.
* Prepare materials for business development meetings and presentations.
* Follow up on business development leads and initiatives as directed by the MD.
* Other Responsibilities:
* Handle ad-hoc tasks and projects as assigned by the MD.
Qualifications:

* Proven experience (5+ years) as an executive assistant or similar role supporting senior management, preferably within the hospitality, property management, or related industry.
* Exceptional organizational and time management skills, with a demonstrated ability to prioritize tasks effectively and manage multiple complex projects simultaneously in a fast-paced environment.
* Excellent written and verbal communication skills in English (proficiency in other languages relevant to your clientele would be a significant advantage).
* Strong analytical and problem-solving skills, with the ability to take initiative and find solutions independently.
* Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with project management software or tools.
* Demonstrated ability to conduct research, analyze data, and present findings clearly.
* High level of professionalism, discretion, and confidentiality is paramount.
* Strong interpersonal skills with the ability to build rapport and work effectively with individuals at all levels.
* A proactive and resourceful approach with a strong work ethic.
* Bachelor's degree in Business Administration, Hospitality Management, or a related field is highly preferred.
* Familiarity with the local business environment in Phuket and relevant regulations would be an asset.
