Position : Reservation Manager

Job Detail
Scope of Work:

Pre-Opening Responsibilities:
1. Develop and implement reservation policies and procedures to optimize guest booking experience.
2. Set up and test the reservation system to ensure it is fully functional by opening.
3. Train reservation staff on system use and customer service excellence.
4. Collaborate with IT department to integrate reservation system with other hotel management software.
5. Create effective strategies for managing room inventory to maximize occupancy and revenue.
6. Develop promotional strategies in coordination with the marketing and sales teams to boost early bookings.
7. Establish group booking policies and coordinate with event planners for large-scale reservations.
8. Set pricing strategies for different seasons and market segments.
9. Implement a system for managing special requests and accommodations to enhance guest satisfaction.
10. Prepare the reservations department for operational readiness, including staff schedules and role assignments.
11. Organize simulation exercises to test the efficiency of booking processes.
12. Develop communication protocols for interacting with travel agents and third-party booking services.
13. Design a comprehensive training program for reservations staff focusing on sales techniques and customer service.
14. Set up performance metrics to monitor the effectiveness of the reservations team.
15. Establish clear channels of communication with the front office and sales teams.
16. Prepare detailed reports on booking trends and forecast future occupancy rates.
17. Plan and manage the budget for the reservations department.
18. Review and negotiate contracts with online travel agencies and other booking platforms.
19. Ensure compliance with all relevant laws and regulations affecting reservations.
20. Collaborate with the marketing team to ensure consistency in promotional messages across all booking channels.

Post-Opening Responsibilities:
1. Continuously monitor and adjust room pricing to reflect demand and maximize revenue.
2. Evaluate and refine reservation policies and procedures to improve efficiency and guest satisfaction.
3. Manage day-to-day operations of the reservations department.
4. Provide ongoing training and development for reservations staff.
5. Analyze booking patterns and adjust strategies accordingly to optimize occupancy.
6. Handle escalated customer service issues to maintain high levels of guest satisfaction.
7. Regularly update and maintain the reservation system with accurate information.
8. Develop and maintain relationships with key clients, including corporate and VIP guests.
9. Collaborate with the marketing team to implement seasonal promotions and packages.
10. Prepare regular performance reports for senior management.
11. Ensure all reservations staff are well-informed about current promotions and hotel policies.
12. Monitor competitor pricing and market trends to stay competitive.
13. Implement loyalty programs to encourage repeat business.
14. Maintain high standards of data privacy and security for guest information.
15. Foster a positive and productive work environment within the reservations team.
16. Participate in industry events and seminars to keep up with the latest trends in reservations management.
17. Optimize the use of technology in the reservations process to improve guest booking experience.
18. Manage the allocation and adjustment of rooms during overbooking situations.
19. Coordinate with the finance department to ensure accurate billing and payment collection for reservations.
20. Lead initiatives to enhance the efficiency and effectiveness of the reservations department.

Skills and Qualifications:
• Proven experience as a Reservation Manager or similar role in the hospitality industry.
• Strong organizational and leadership skills.
• Excellent communication and interpersonal skills.
• High proficiency in using reservation software and other related IT systems.
• Bachelor’s degree in Hospitality Management, Business Administration, or related field.
• In-depth knowledge of reservation management and pricing strategies.
• Ability to analyze data and market trends to make informed decisions.
