Position : Executive Secretary

Job Detail
Scope of Work:

Responsibilities:
1. Manage the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements.
2. Act as the first point of contact for the CEO, handling correspondence and phone calls.
3. Prepare and edit communications, presentations, and other documents for the CEO.
4. File and retrieve corporate documents, records, and reports.
5. Organize and maintain the office filing system for optimal efficiency.
6. Coordinate logistics for board meetings and executive sessions, including preparing agendas and minutes.
7. Handle confidential documents ensuring they remain secure.
8. Conduct research and prepare reports or summaries based on findings for the CEO.
9. Manage expenses and prepare expense reports for the CEO.
10. Assist in the coordination of company-wide events or meetings.
11. Actively manage and respond to urgent emails and messages with appropriate prioritization.
12. Serve as the liaison between the CEO and internal departments, demonstrating leadership to maintain credibility, trust, and support.
13. Facilitate smooth communication between the CEO’s office and internal departments; demonstrating leadership to maintain credibility, trust, and support with senior management staff.
14. Arrange corporate events to take place outside of the work place, such as golf tournaments, fund-raising events and staff appreciation events.
15. Maintain a professional office environment and administrative support.
16. Assist in the preparation and organization of promotional materials or events for the CEO.
17. Manage and maintain the CEO's professional and personal contacts.
18. Provide general administrative support to the CEO.
19. Oversee the organization of CEO’s personal commitments including travel or personal appointments.
20. Perform additional duties as assigned by the CEO to ensure the efficient and effective operation of the CEO’s office.

Skills and Qualifications:
• Proven experience as an executive secretary or similar administrative role.
• Proficient in MS Office and “back-office” software (e.g., ERP software).
• In-depth understanding of entire MS Office suite.
• High degree of professional ethics and integrity.
• Superb written and verbal communication skills.
• Excellent organizational, time management skills, and ability to multitask.
• Ability to keep company confidences.
• Attention to detail and problem-solving skills.
• High school diploma; additional qualifications as a personal assistant or secretary are a plus.
• Bachelor’s degree in business administration or relative field preferred.
