Position : Head of School Operations
Job Detail
Purpose of Job
Lead and oversee the extracurricular activities program for the whole school, ensuring it is of high quality and takes place in a safe, positive, and healthy learning environment. Additionally, oversee the general orderliness and maintenance of the school to ensure a well-organized and conducive learning space.
Duties and responsibilities
School affairs
• Support and assist the School Manager in effectively managing the school.
• Assist in organizing school events and projects such as parent meetings and extracurricular activities (School Events, After-School Programs, Summer Camp).
• Oversee the daily operations of the school, including managing personnel and resources to ensure smooth operations and problem-solving.
• Coordinate with various departments such as Academics, Administration, Finance, Admissions, and Marketing to ensure smooth and aligned workflows.
• Prepare reports on school operations and issues, and propose solutions.
• Ensure the school premises are well-maintained, safe, and fully operational for students and staff.
• Coordinate with parents and manage relationships, addressing and resolving issues smoothly.
Extra-curricular activities
• Oversee and support high-quality extra-curricular programs across the Whole School including the off-campus trips. This includes planning and programming the activity schedule, timings, staffing and resources (in liaison with admin support
• Quality assure the extra-curricular programs through observations, student and parent surveys and liaison with outside providers
• Provide opportunities to showcase excellence or celebrate development and achievements in the wide range of activities and events at school
• Keep up to date with local and international initiatives related to extra-curricular activities, and advise the Head Master/Mistress and Governors on developments and policies as appropriate
• Ensure that the central register of staff safeguarding checks is up-to-date and that there is due diligence with checks on external staff providers.
• Produce literature on the extra-curricular program and school events for parents and students.
• Produce the extra-curricular and sport sections in the Staff Handbook.
• Assist the Leadership Team in recruiting and selecting extra-curricular activity coaches/ specialist teachers
• Coordinate and consult with coaches/ specialist teachers regularly to fine-tune the extra-curricular activity programs to avoid overlapping of activities
School events
• Assisting the school calendar and diary coordinator in maintaining the calendar in respect of events
• Ensuring each event is designed to uphold the values and high standards that the school holds itself accountable to
• Developing detailed event plans and run sheets
• Securing suppliers and sub-contractors
• Sourcing materials for themed events
• Scripting speakers as required
• Managing pre-event, event and post-event logistics
• Ability to work flexibly to ensure you attend all events to ensure effective coordination of events
• Coordinating staff, suppliers and sub-contractors during the event
• Liaising with VIPs and sponsors as required
• Critically assessing each event for opportunities to improve
• Seeking stakeholder input and feedback on key signature events
• Lead the planning, delivery and revision school events
Qualifications
• Bachelor's degree or higher
• At least 3-5 years of experience in management; experience in educational institutions is a plus.
• A relevant qualification in a general/project management and related discipline, or relevant experience in a similar role.
• Knowledge of all facets of event management
• Strong communication and coordination skills.
• Ability to solve problems and work under pressure effectively.
• Excellent time management and prioritization skills.
• Flexibility and adaptability to different situations.
• Leadership qualities and the ability to work effectively with personnel across multiple departments.
