Position : Junior Administrator

Junior Administrator responsibilities extend beyond administrative duties and mere information management, adapting to the needs of different executives to support leadership, decision-making, and overall productivity in a proactive and strategic manner. This role demands specific administrative skills, including advanced research and organization capabilities, to manage information effectively. This person should have experience working in an office environment, performing administrative duties, and providing support to managers. Given the dynamic nature of the executive landscape, we rely on the Junior Administrator to be flexible and consistent while maintaining the confidentiality of high-level systems and operations.

Objectives of this role
• Support the Asssistant CEO primarily and provide additional support to executive team members, as directed, to ensure that company goals and objectives are accomplished and that operations run efficiently
• Maintain and refine internal processes that support high-ranking executives companywide, and coordinate internal and external resources to expedite workflows
• Manage communication with employees by liaising with internal and external executives on various projects and tasks
• Plan and orchestrate work to ensure that senior executives’ priorities are met, organizational goals are achieved, and best practices are upheld

Responsibilities
• Complex and ever-changing diary management
• Manage professional and personal scheduling for senior executives’, including agendas, mail, email, phone calls, client management, and other company logistics
• Manage and maintain senior executives’ schedule and calendar management, as well as appointments, travel arrangements, content and flow of information to senior executives
• Provide administrative and office support, such as typing, dictation, spreadsheet creation, email, and maintenance of filing system and contacts database
• Conduct special research, assemble and analyze data to prepare reports and documents.
• Assist with special projects, research, and analysis as assigned by the Assistant CEO.
• Maintain professionalism and strict confidentiality files, records, and databases with utmost accuracy and discretion.
• Organize and coordinate events, conferences, and special functions. This involves managing logistical details, coordinating with vendors, and overseeing event execution.
• Build positive relationships with internal staff, clients, partners, and stakeholders
• Act as a liaison between executives and internal/external parties, ensuring effective communication.
• Identify areas for process improvement and implement efficient administrative systems such as workflow, reporting procedures, or expenditures.

Required skills and qualifications
• One or more years of experience in an administrative role reporting directly to upper management
• Excellent written and verbal communication skills
• Strong time-management skills and an ability to organize and coordinate multiple concurrent projects
• Proficiency with office productivity tools, MS Office and an aptitude for learning new software and systems
• Flexible team player, willing to adapt to changes and unafraid of challenges
• Ability to maintain confidentiality of information related to the company and its employees
• Excellent time management skills and ability to multi-task and prioritize work

Preferred skills and qualifications
• Experience in overseeing office management procedures and accounting principles
• Experience in developing internal processes and filing systems
